Enrollments - Business Intelligence Dashboard

Take a look at your organization's enrollment trends using the Business Intelligence Dashboard (BID) - Classes - Enrollments page. This data provides you with a quick overview of how enrollment is progressing and if enrollment goals are on track for the timeframe selected.

The data is presented in tiles or sections, and multiple tiles make up the Enrollment dashboard page. Hover over any bar graph to see additional details.


Classes - Enrollments

The data presented on the Classes - Enrollments page is the total enrollment for a month as it compares to the previous months and previous years, depending on the filters you select, and additional enrollment details for your organization. 

The Enrollments page is selected in the left column.
Filters select the Client/OrgID and Location (hold the ctrl key to select multiples).

Filters allow you to see what filters have been selected and let you add additional filters.
First of Month Enrollment Count Over Time, by Month graph.
Added Enrollments by Month and Year graph.
Monthly Added Enrollments by the numbers.
Dropped Enrollments by Month and Year graph.
Monthly Dropped Enrollments by the numbers.
Trial Enrollments, by Month and Year graph.
Monthly Trial Enrollments by the numbers.
Length of Enrollment graph.
Average Age and Length of Enrollment by the numbers.

Tile Descriptions

Each tile represents reporting data from your organization for enrollment.

First of Month Enrollment Count over Time, by Month and Year

This shows you the trend for added enrollments at the first of the month. Students who enrolled in a class who were not already in another class. This could be new students or students who were already in your Jackrabbit account but were inactive.

Added Enrollments,
by Month and Year

The total number of enrollments that were added as of the last day of that month. These enrollments exclude Trials and same-day cancellations. 

For example, the month started with 100 enrollments on the 1st day of the month, and 25 were added throughout the month (excluding trials/drop-ins/makeups) = 25 Enrollments.

The data for the graph is displayed in the tile to the right.

Dropped Enrollments,
by Month and Year

The total number of enrollments dropped by the last day of that month.

For example, the month started with 100 enrollments, 25 were added, and 10 students dropped from classes = 10 Drops

Trial Enrollments, by Month and Year

This graph indicates the number of Trial enrollments by month and year. The data for the graph is displayed in the tile to the right.

Length of Enrollment

The graph shows you how long the students have been enrolled in classes at your organization. This is indicated by months/years.

Average Age and Length of Enrollment

The data table shows you with the average ages of the students in your organization. Columns include:

  • Average Enrollment Age
  • Average Enrollment Drop Age
  • Average Months of Enrollment
  • # Enrollments (totals)

Tile Icons

Hover and click on a tile icon located on the top-right of each tile for additional information for the Enrollments page to get info, sort data, or take action.

Help - A brief description of the information included in the tile.

Filters - Lists the filters and slicers that were selected for the data visual.

Focus mode - Enlarges the tile to full-screen size.

More options - Drops down an additional list of options for the tile you are looking at.

Additional Icons for the Average Age and Length of Enrollment

Drill up - Click to drill up in the data table.

Drill down - Click to turn on to drill down in the data table.

Next level  - Go to the next level in the hierarchy.

Expand all down - Expand all down one level in the hierarchy.

Recommendations & Things to Consider

Viewing the enrollment trends for your business provides you with a quick overview of how enrollment is progressing and if enrollment goals are on target. It's a great way to track student involvement for both new and existing students. For example, you set a monthly goal to increase monthly revenue by $1000. If you add 10 enrollments each month at an average of $100/month, you will meet the $1000 additional revenue goal. This enrollment page provides you with real-time data.

If your monthly goals are not being met, you can take action in order to meet your goal. Consider these ways to increase enrollment:

  • Are you marketing to your existing customers as well as marketing to reach new students?
  • Are you sharing the benefits of taking additional classes to increase skill levels?
  • Are you offering Open Gym or Open Studio time hours?
  • Are you maximizing your class size?

Take Action

Use this Enrollment data to track trends to forecast the need to increase or decrease the number of classes you offer, adjust class sizes, add additional days or times, and adjust staffing.

  • Have you added new types of programs or new staff?
