Free up your Phone Lines with Online Forms



It‘s no secret! Your office staff spends most of their time answering the phone, day in and day out. Through a poll, we learned the most common reason your phone rings is for parents to report absences or schedule a makeup class. How can you free your office staff from tending to these requests? Below are some ideas from Jackrabbit users!

Online Form Created by You

Google Forms allow you to customize a form with images, create questions for your audience, and determine the type of answers for each question (multiple-choice, open-ended, checkbox, or dropdown). Simply create the form and add a link or button for it to your website!

If you update your website through a website creation tool, some of these tools have web-based form plugins that also work for this. 

Ohio Sports Academy uses Weebly for its website and has created an online makeup request form.

Barron Swim School uses WordPress for its website and has added forms for reporting absences and requesting makeup lessons.

Online Form Created by your Website Administrator

For those that use a website administrator for their website, you can have an online form built on a designated page of your website. If you are familiar with coding websites and you maintain your own, that works too! Work with your website administrator to design how the form looks and what you want it to do. Jackrabbit Support cannot assist in providing the coding.

Swim Kids has added a makeup request form to their website that was built by their Website Administrator.

So, what would this process look like?

  1. Create an online form. 
  2. Connect the form to your website.
  3. Direct parents to the form to complete as needed.
  4. Email notification sent to the organization with information from parent’s submission.
  5. Staff member completes actions in Jackrabbit. 
  6. Staff member sends the parent a confirmation email.

The parents complete this form instead of calling the office, freeing up office staff for other tasks and allowing parents to self-serve at their convenience. What a win-win for all!
